Room Reservations

As shared collaborative space across all AU facilities, we ask that you adhere to the following policies to ensure equitable access and a productive environment for everyone:

Key Policies - Please Read First

· Reservations Required: All conference rooms, large group collaboration spaces, and private study spaces across Air University require booking a minimum of 24 hours in advance. See list at the bottom for booking spaces.

· Eligibility: Reservations are for current AU schools, centers, students, faculty and staff. Use your '.mil' or '.edu' email address when booking.

· Time Limits and Booking Patterns: Book spaces for up to 4 hours per day, up to 90 days in advance. To ensure fair access for all users, recurring, all-day reservations spanning multiple weeks are generally discouraged and may be subject to review by management. These spaces are primarily intended for short-term academic activities and meetings, not for regularly scheduled academic classes or long-term projects.

· Cancellations: As these spaces are shared collaboratively, if you no longer need your reserved space, please cancel your reservation promptly. No-shows may result in temporary suspension of reservation privileges. You can cancel or adjust a reservation by notifying the appropriate facility's team (see contact information for the specific facility).

· Check-In: Please check in within 30 minutes of your reservation start time at the designated check-in point. After 30 minutes, the space may be reassigned.

· Appropriate Use: As shared collaborative space, spaces are intended for study, meetings, research, and briefings. Group work (two or more people) is encouraged in larger spaces. Disruptive or inappropriate behavior may result in loss of space privileges.

· Cleanliness: Please leave the space clean and remove all trash before you leave, so that it remains useful shared collaborative space.

· Equipment: An AF1297 form may be required for equipment leaving the facility; check with the specific location. Refrain from using harsh chemicals, cleaners, and alcohol to sanitize sensitive electronic items.

Important Reminders

· Study spaces are only available during the facility's operating hours. See posted hours for each location.

· While short-term recurring reservations are permissible, these spaces are not intended for semester-long or regularly scheduled academic classes, unless specifically approved by facility management.

· Larger spaces are intended for groups. Individual users may be asked to move if a group needs the space.

· Air University and its individual facilities are not responsible for lost or unattended personal belongings. Items left behind will be turned into the appropriate lost and found location.
